IMT Privacy Policy

The JP Tower Museum “INTERMEDIATHEQUE” (hereinafter referred to as “IMT”) and the facility operated by IMT (hereinafter referred to as the “IMT facility”) collects information on users, who use the following services, to the extent necessary to conduct the smooth operation of the IMT official website “http://www.intermediatheque.jp” (hereinafter referred to as the “IMT website”), which is run and published by JAPAN POST Co., Ltd. and the University of Tokyo, which operate IMT jointly, the application developed and released by IMT (onIMT), and all the services offered for exhibitions at the IMT facility (hereinafter collectively referred to as the “services”).

IMT establishes the following privacy policy (hereinafter referred to as the “policy”) to properly handle collected information within the scope of the purposes of use and to protect users.

1. Scope to which the IMT privacy policy applies

The policy applies when users use the services. In accordance with the policy, IMT manages user information, including personal information, which is provided to IMT when users use the services (hereinafter referred to as “user information”).

2. Collection and use of user information

To use the services, apply for newsletters or courses, inquire, or use questionnaires, etc., users may be required to enter their personal information, including name, address, age, phone number, identification document number, e-mail address, and other information.

When users use the services, IMT automatically receives information, such as the user’s terminal equipment address, cookie information, viewed/searched pages, and location information, from the user’s browser and application (onIMT), and it records such information in the server. IMT uses user information collected from users for the following purposes:

  1. To provide the services.
  2. To further enhance the content and service contents offered by the services.
  3. To conduct questionnaires about user needs.
  4. To use the information as a reference for creating statistical data on the services.
  5. To send newsletters (e-mail newsletters) to the user’s e-mail address after obtaining his/her permission.
  6. To transmit explanation information related to the current location of the user at exhibitions available at the IMT facility.
  7. To allow IMT to contact users.
  8. To respond to investigations and inquiries, which supervisory authorities and administrative agencies, etc., conduct in accordance with laws or regulations, or for the public interest.

3. Security management measures for personal information

To prevent leakage, loss, or damage of personal information handled by IMT, it takes proper security management measures. IMT also ensures that the personal information it stores and manages is accurate and up-to-date.

IMT properly supervises its employees and outsourcing companies, etc., about the handling of personal information as well.

4. Sharing and disclosure of user information

IMT will under no circumstances sell or lend users’ user information to a third party.

However, IMT may disclose, provide, or take other actions about user information collected from users in the following cases:

  1. When the handling of personal information is wholly or partially outsourced to the extent necessary to achieve the purposes of use provided in Clause 2.
  2. When partners, which conduct businesses jointly with IMT for the purpose of providing the services to users (the names of the partners will be disclosed on the webpage providing the services), need information (as a general rule, the partners cannot use personal information provided by IMT for the above purpose, beyond the extent necessary, unless the user specifically provides consent to IMT with individual terms of use for the services).
  3. When the prior consent of the user is obtained.
  4. When formal inquiries based on laws or regulations are received from public agencies, such as police or court, or when disclosure is required in accordance with the provisions of laws or regulations.
  5. When the life, body, or assets, etc., of a person is at risk and it is deemed urgent.
  6. When it is particularly necessary for the improvement of public health or promotion of sound growth of children, and it is difficult to obtain the consent of the individual concerned.
  7. When acts by a user may harm IMT’s and a third party’s rights and assets, or when such acts may interfere with the provision of the services.

5. Cookies

Please note that the IMT website may use cookies when it provides its services to users. Please use, at your own risk, tools that allow the user to reject cookies and notify him/her of the receipt of new cookies, methods to disable a cookie’s function, or any other settings.

6. Revision and announcement of the policy

IMT may revise the policy as necessary. In that event, IMT announces up-to-date information through updates on the website, news items, or newsletters, etc.

7. Protection of user information collected by third-party organizations

Third-party organizations, which are linked from the IMT website, may collect user information, excluding personal information, through their activities. IMT will not assume any obligation or responsibility for the protection of user information collected by these third-party organizations.

8. Disclosure and other requests regarding retained personal data

When users wish to disclose, correct, delete, or suspend the use, etc., of their retained personal data, users should refer to the information listed below.

In terms of prevention of personal information leakage, based on the provisions of the Act on the Protection of Personal Information, IMT will respond to such a request within a reasonable period of time only when it has been confirmed that the request was made by the individual concerned and does not fall under any of the following items:

  1. When it may harm the life, body, assets, or any other rights or interests of the individual concerned or a third person.
  2. When it may seriously interfere with the proper execution of IMT businesses.
  3. When it violates other laws or regulations.

With regard to registration for newsletter delivery services, the user can change or cancel his/her registration anytime voluntarily from the registration cancellation page.
